Part 5: Material (EN)

5.1 Material management

In the main menu, navigate to MATERIAL→ MATERIAL MANAGEMENT.

All materials are displayed here in a list and you can navigate from here to the detailed view of the individual materials by clicking on the small arrow on the right-hand side of the line.

5.1.1 Creating a material

You can create a new material by clicking on the ADD NEW MATERIAL button at the top right of the list of materials.

Press SAVE after you have added all the relevant information. You can edit the material again at a later date at any time.

5.1.2 Detailed view of material

Once you have created a new material, you are automatically taken to the detailed view of the material. You can also navigate to the detailed view of an existing material via the list of materials by simply clicking on it.

You can navigate back to the MATERIAL OVERVIEW by clicking the BACK button.

To edit a material, click on the EDIT button - you will then be redirected to the same view that you are already familiar with from creating a new material.

Materials cannot be deleted. However, you have the option of setting the material status to INACTIVE if a material is no longer available.

5.1.3 Material types

There are three material types in Workheld that can be used in different ways:

Inventory managed materials are materials that are counted and assigned to storage locations. These storage locations are maintained in the Admin Client by a person with the necessary permissions. Material consumption entries can be created for these types of materials, but before they are added to a consumption entry, an availability check is performed to ensure that sufficient materials are present in the storage locations. This allows the technician to see not only the available quantity but also the exact locations of the materials.

Non inventory managed materials are materials that are not tracked in the system and cannot be reserved. When creating a material consumption entry, no availability check is required. These materials can be used at any time during a work step. However, the consumption record can be modified or even deleted afterward if necessary.

5.2 Inventory Overview

In the main menu, navigate to MATERIAL→ INVENTORY OVERVIEW.

All the materials that are inventory managed can be found in the inventory overview. The materials are displayed in a list form and can be filtered by different storage locations.

Please ask your supervisor about the app permissions.

The storage locations should be added in the Admin Client by a person who has permissions to modify data there.

The materials are transferred to storage locations with the help of the interface.

5.3 Material Reservation

There are two types of materials in Workheld Flow: inventory-managed and non-inventory-managed materials. To complete their work, technicians require certain materials, and from the coordinator's perspective, it is important to add materials to the work step. If the material is inventory-managed, it will be reserved for the technician.

Please navigate to OVERVIEW → PROJECT → WORK ORDER and press on materials in order to add materials to work steps.

There is going to be a pop-up which allows you to create a material list. You can see that under each material there is a not whether material is inventory managed or non inventory managed.

In case the materials are available, they can be reserved for the work.

Availability Status has two types:

  • the current stock is full with the required materials.

  • not many materials are reserved, as they are available in stock.

  • a new delivery of materials is scheduled to arrive by the date they will be needed (starting date of the work step).

  • there are not enough available materials in stock.

  • more materials have been reserved than are available in stock.

  • there is no upcoming delivery scheduled for the date the materials will be needed (starting date of the work step).
